Overview

What is QuickFile?

QuickFile started as a free accounting product and, unusually, stayed one. Smaller accounts, under a thousand nominal ledger entries a year, use the full product at no cost: invoicing with a branded client portal, bank feeds, purchase capture, VAT handling and a proper double entry ledger underneath. Larger files pay for the Power User subscription at around 65 pounds a year, about R1,550, which is still less than most rivals charge in a month.

The product is built in and for the United Kingdom, with UK VAT filing to HMRC under Making Tax Digital and pound denominated defaults. Its South African audience is specific and real: accounting and outsourcing practices running books for UK companies, SA owners of UK entities, and freelancers billing British clients who want professional invoicing and a clean ledger without a subscription eating the margin. Multiple currencies are supported, so pound invoicing with the odd euro or dollar bill works fine.

Set expectations correctly: the interface is functional rather than beautiful, support is forum first with a paid option for direct help, and there is no SARS localisation whatsoever. What you get is an honest, capable, very complete accounting system at a price that embarrasses the industry, from a company that has quietly served hundreds of thousands of businesses for over a decade. For cost conscious UK entity work run from South Africa, it is a seriously rational choice.

Good but not perfect for our Potchefstroom team

It demands some bookkeeping knowledge and rewards it. Some workflows take three clicks where rivals take one. The API let us automate our monthly recurring billing completely.

Our accountant in Randburg recommended it, good call

The VAT return files to HMRC directly and has never once been queried. Recurring invoices and payment reminders run without attention. Function beat fashion, we bank the difference.

Mostly happy in Somerset West, a few gripes

Excellent value wrapped in a dated jacket. Ledger size limits eventually push everyone to Power User, which is fair. The API let us automate our monthly recurring billing completely.
