Retail South Africa Used for 1–2 years

Our accountant in Cape Town recommended it, good call

My UK clients pay invoices through the portal and the payment lands tagged in the books. Estimates convert to invoices and the portal shows clients their whole history. Unfashionable and unbeatable.

Cons

Dated, functional interface

Good but not perfect for our Stellenbosch team

The product is stronger than it looks, and it looks like 2012. It is UK first in every default, other jurisdictions are guests. New staff take longer to find their feet than on prettier products.

Pros

A decade of history kept intact

Cons

Direct support costs extra

Media & Marketing South Africa Used for 1–2 years

Disappointed after 2 years

The quirks charmed us at first and wore us down eventually. No phone number to call when the return deadline loomed. Exporting for our new accountant took real effort to map.

Cons

Edge cases stuck in forum threads. Confusing screens caused capture errors

Decent fit for a 45 person company

Free sets expectations low and the ledger clears them easily. Ledger size limits eventually push everyone to Power User, which is fair.

Pros

API for automation

Cons

Forum first support model

Good but not perfect for our Upington team

Free sets expectations low and the ledger clears them easily. Ledger size limits eventually push everyone to Power User, which is fair. Purchase receipts forward by email straight into the inbox for capture.

Cons

Assumes bookkeeping knowledge

Good but not perfect for our Pietermaritzburg team

Excellent value wrapped in a dated jacket. The mobile experience is a responsive website, not an app. Document storage keeps every invoice PDF attached to its transaction.

Pros

Email in receipt capture

Cons

UK defaults everywhere

Working well for our 28 person team

Our practice runs 30 small UK client files on QuickFile and the software bill is nearly zero.

Pros

Branded client portal on invoices

Exactly what our 6 person business needed

As a bookkeeper doing UK work from Umhlanga, the price lets me quote clients fees they cannot refuse. Underneath the plain screens is a proper double entry ledger that satisfies accountants. Recommended for every simple UK entity we handle.

Pros

Free tier is the complete product

Mostly happy in Richards Bay, a few gripes

The product is stronger than it looks, and it looks like 2012. It is UK first in every default, other jurisdictions are guests. It never nags, never upsells mid task, never surprises the debit order.

Cons

Extra clicks in common workflows

The interface is the toll for free

It demands some bookkeeping knowledge and rewards it. Some workflows take three clicks where rivals take one. Recurring invoices and payment reminders run without attention.

Bank tagging rules do my bookkeeping for me

After 2 years the quirks feel like home, mostly. It is UK first in every default, other jurisdictions are guests. Underneath the plain screens is a proper double entry ledger that satisfies accountants.

Pros

Branded client portal on invoices; clever bank tagging rules

A quiet workhorse for 7 years now

The VAT return files to HMRC directly and has never once been queried. It never nags, never upsells mid task, never surprises the debit order. Recommended for every simple UK entity we handle.

Our Stellenbosch office gave up on it

Forum support met its limits exactly when we did. A VAT edge case took two weeks of forum threads to resolve.

Cons

Confusing screens caused capture errors

Good decision for a 6 person company

Multiple currencies on a free product still surprises me every time I invoice in euros. Purchase receipts forward by email straight into the inbox for capture.

Pros

UK VAT filing included free; power User costs almost nothing yearly

Cons

No complaints after 7 years

Multiple currencies on a free product still surprises me every time I invoice in euros. The community forum has an answer for nearly everything, usually from the developers themselves. The tagging rules engine is genuinely clever, it handles our regular suppliers untouched.

Good decision for a 25 person company

Bank tagging rules learned my patterns and now most months reconcile themselves. Document storage keeps every invoice PDF attached to its transaction. The tagging rules engine is genuinely clever, it handles our regular suppliers untouched. The most rational software spend in our practice: nearly none.

Pros

API for automation
